Paper Presentations

Podium Presentation: On the day of your presentation, you (or your designated presenter) must attend the Speakers’ Breakfast at 7:00 a.m. in the Alexandra Room on the 32nd Floor of the Westin hotel. All presentations must be loaded onto the session laptop during the Speakers’ Breakfast. We ask that you bring your presentation on a USB flash drive (memory stick). Presenters will not be allowed to use their own laptops. Presentations must be in PowerPoint (.ppt or .pptx) format only and capable of running on a laptop using MS Office 2010 for Windows. If you wish to review your presentation prior to loading it onto the session laptop, you will be able to do so in the “Speaker Ready Room.” At the breakfast, you will be able to meet your session chair(s). Please bring along 2 or 3 written sentences about yourself so that the session chair can prepare an introduction.

Since this symposium received such a large number of quality papers (354), we have had to limit the time available for each oral presentation. You will have 12 minutes to present your material, plus 2 minutes for questions and 1 minute for setup. Please do NOT try to present your entire paper. In 12 minutes, your goal should be to entice the audience to read your paper. Show them just the highlights, and avoid going into detail. A good guideline is one slide for every minute or 12 slides total. Use large readable fonts, and do not put too much information on the slides. Rehearse, rehearse, and rehearse again, to be sure you can finish your presentation in the allotted time.

Poster Presentation: All poster presentations will take place on either Monday, 29 June or Tuesday, 30 June from 3:30 to 4:30 PM in the Georgian Room of the Westin hotel. All authors must be available during this time period. Posters must be setup before 2:00 PM on the day assigned. Posters will be showcased during the symposium and we expect a very large number of attendees visiting the poster sessions. All authors with posters are requested to make a brief oral presentation of their work during their poster session. A committee of two to three members will be visiting the posters and they will be expecting to hear a summary of the work for about three minutes. So it is important that you will be next to your poster during your assigned poster session. There will be two awards at the Symposium for best poster, one on Monday and one on Tuesday, which will be presented at the banquet.

Your poster must fit into an area 4 feet high by 4 feet wide (48 inches by 48 inches or 122 cm by 122 cm). Electricity is not available at the poster site. At this time, we have not assigned posters to specific poster board locations. If we elect to make such assignments, this information will be available at conference check-in.

Invitation Letters
To facilitate travel arrangements, invitation letters to attend and participate in the symposium can be issued upon request after acceptance of an abstract. A presentation slot, either on the podium or on the floor, will be assigned after submission and acceptance of the final paper.

Deadlines:

1 March 2015: Deadline for paper submission and copyright consent.

1 April 2015: Notification to corresponding author of accept/revise/reject.  Papers that do not meet standards of technical and editorial quality will be rejected. No comments will be communicated on accepted or rejected papers.

1 May 2015: Revised papers due; deadline for full symposium registration of one author. Registration is required to secure a presentation time and a paper in the proceedings.

1 June 2105: Presentation schedule posted on the symposium website.  Papers will be assigned to poster or oral presentation, and final sessions may differ from topic areas.

28 June-1 July 2015–Symposium. Workshops, short courses, technical tours, and special activities take place both before and after the formal symposium dates. See symposium website, www.armasymposium.org

Awards
Outstanding contributions to the conference will be recognized with awards from ARMA for Best Paper and for Best Poster for each poster session. The selection criteria include originality of the technical work, innovation, potential practical value and clarity of presentation.
